This policy explains what personal information Procom Group collects about you, why we collect it, who we share it with, and what you can ask us to do about it. It is written to meet our obligations under South Africa's Protection of Personal Information Act, 2013 (POPIA).

When you complete a contact form, request a quote, use one of our solution builders, apply to become a dealer, or respond to one of our advertisements on social media, we collect what you enter. That is typically:
Lead forms on advertising platforms work the same way. If you submit your details through an advertisement rather than on our website, that platform passes what you entered to us and we handle it under this policy from that point on.
When you use our website we also record technical information: your IP address, your browser's user agent, the pages you visit and the date and time you visit them. This is collected through cookies and similar technologies, described in section 4.
We do not ask for, and do not want, special personal information as POPIA defines it — your race, health, religion, biometrics, political or trade-union affiliations, or criminal record. Please do not include information of that kind in a message box. We do not knowingly collect information from children.
Our website uses cookies and similar technologies for two purposes: to make the site work, and to measure how our advertising performs.
We use the Meta Pixel — a small piece of code from Meta Platforms, which operates Facebook and Instagram — to record that a page was viewed or an enquiry was submitted. We also use Meta's Conversions API, which reports the same events from our server rather than from your browser. The two are deliberately paired: they send a shared identifier so that a single enquiry is counted once and not twice.
When you submit an enquiry, the Conversions API send includes your email address and telephone number in hashed form. Hashing is one-way: the value is scrambled into a fixed string that cannot be reversed back into your email address or number. Meta compares that scrambled value against its own records to work out whether you saw one of our advertisements. Your IP address and browser user agent are also sent, and these are not hashed, because Meta needs them in their original form for the same purpose.
We use analytics cookies to understand which pages are read, how visitors move through the site and where they leave. This is aggregate and about patterns, not about identifying you personally.
You can block or delete cookies in your browser settings, and most browsers let you refuse third-party cookies specifically. Doing so will not stop you using this website. You can also control how Meta uses your information for advertising in your Facebook or Instagram ad preferences. Blocking cookies in your browser does not by itself stop the Conversions API, because that send happens from our server — if you want us to stop, contact us using the details in section 9 and we will stop.
We do not sell your personal information. We share it only with organisations that process it on our behalf, under contract, and only so far as they need it to do their job. In POPIA's language, these are our operators.
We will also disclose information where the law requires it, or where it is necessary to protect our rights.
Zoho, Meta and Cloudflare operate internationally, so your information is processed on servers outside South Africa. POPIA permits this where the recipient is bound by rules that provide an adequate level of protection, or where you have consented, or where the transfer is necessary to perform a contract with you. We rely on the contractual protections these providers offer, and we do not transfer your information anywhere else.
We keep your information only as long as we have a reason to. Enquiry and quote records are retained while we are dealing with your enquiry and for a period afterwards, so that we have context if you come back to us and so that we can meet the record-keeping periods that tax and company law impose on us. Records relating to a contract are kept for as long as that contract runs and for the retention period the law requires afterwards.
When information is no longer needed for any of those purposes, we delete it or de-identify it. You can ask us to delete it sooner — see section 8.
We take reasonable technical and organisational steps to protect your information against loss, unauthorised access and misuse. Our website is served over an encrypted connection, access to our systems is restricted to staff who need it, and the identifiers we send for advertising measurement are hashed before they leave us. No system is perfectly secure, but if a breach affects your personal information we will notify you and the Information Regulator as POPIA requires.

We may update this policy as our services or the law change. The date at the top of the page shows when it last changed. Where a change materially affects how we use information you have already given us, we will tell you.
